Industries · Sourcing and private-label teams

Womenswear development for sourcing and private-label teams.

You are coordinating answers from several stakeholders before a supplier sees the brief. This path covers decision ownership, private-label inputs, approval records and a hand-off that survives the transfer.

What this path settles

Three decisions that decide whether a brief survives contact with a supplier.

Sourcing teams rarely lack information. They lack a single version of it that the sample room, the brand owner and the factory can all read the same way.

01 · Decision ownership

Which side owns each decision?

Sourcing teams work with internal stakeholders who each hold part of the answer — product, quality, brand, finance. Writing down who settles what, at which stage, removes the round of questions that otherwise arrives after sampling.

02 · Private-label inputs

What has to be in hand before a private-label style is quoted?

Labels, hangtags, artwork, placement and packing are the buyer-side inputs of a private-label order. When they arrive after the price, they stop being a design decision and become a renegotiation.

03 · Structured hand-off

Can an internal brief survive the hand-off to a supplier?

A brief written for internal approval and a brief written for a factory are not the same document. The hand-off version needs the specification fields, the open questions and the decision the supplier is being asked to support.

Development sequence

How a team brief moves through development.

The sequence protects the two things sourcing teams are judged on: the round count and the accuracy of the approved sample.

  1. 01

    Internal brief prepared

Product, quality and brand inputs collected into one document, with the open points flagged rather than filled with assumptions.

  2. 02

Brief reviewed against the specification fields

Construction, material direction, finish, brand details and quantity estimate checked for completeness before it leaves your team.

  3. 03

    Sampling round opened

A sample round runs from the brief; comments come back through the named approver so the round count stays honest.

  4. 04

    Approval recorded per style

The approved sample and the recorded materials become the reference the bulk run is checked against.

  5. 05

    Production and inspection hand-off

The inspection points and the record kept at each stage are agreed before the run starts, not after the goods are made.

Hand-off boundary

What has to be decided before the supplier's clock starts.

Sampling time is counted in working days from the point the reference material and the open questions are confirmed — so an unclosed input is a delay, not a detail.

  • The starting point: a tech pack, a drawing, an approved reference sample, or images plus a written brief — the route differs, and so does the sampling window.
  • The named approver on your side. Comments arriving from several places at once is the most common cause of an extra sample round.
  • The private-label inputs, if the order is own-brand: artwork, placement, label types and packing level.
  • The open questions, listed as open. An assumption recorded as a fact is what makes the first sample look wrong.

Two ways to start

Use your format or use ours.

If your team already works to a fixed brief, we will work from it. If the format is still open, the RFQ fields give you a starting structure.

Bring your brief

Works when: your team has a standard format and internal stakeholders already read it. We flag missing fields instead of assuming them.

Start from the RFQ structure

Works when: the format is still being set. The request captures product, quantity estimate, market and the decision your team needs next.

Questions before the next step

Common questions on this topic.

These answers define the decision boundary for this page. Commercial terms and factory-specific feasibility still require project review.

01Who owns which decision during development?

Product and commercial decisions sit with you; construction, material and process feasibility sit with us and are stated explicitly. Sampling stops at the named approver on your side, so comments arrive as one set from one direction rather than several partial answers.

02What private-label inputs do you need before quoting?

The artwork and placement for woven labels, hangtags, size and fibre-content labels, plus the packing level you expect. Texture, size and placement affect both cost and sampling, so they belong in the brief rather than in a follow-up message.

03How are sampling rounds approved and recorded?

Each round is logged with the brief version, the comments given and the outcome. Bulk production runs against the sealed sample and the recorded materials, and the record is what the inspection check refers to when the goods are made.

04Can we hand over an internal brief template?

Yes. If your team already works to a fixed brief format, send it and we will work from it; where a field is missing we will say so instead of assuming a value. The goal is one document that both your stakeholders and the sample room can read the same way.

From research to a useful brief

Send the brief your team already works to.

You do not need every answer before the first conversation. Share the product direction, available files, quality expectations and known commercial context.

Send an inquiry

Two steps, then review. Text only; no file uploads.

  1. Step 1 of 2 Fit check
  2. Step 2 of 2 Details
01 Initial fit check

Start with five required details. Add your project requirements next, then review before sending.

Choose the closest current category. Construction and supplier fit still require review.

Enter the buyer's working estimate, or “Not confirmed.” This is not an MOQ statement.

Add a website or phone Optional

A link to your brand or company site helps the review start with real context.

Include a number if you would like us to reply by phone or WhatsApp.

Nothing is sent from step 1. The detailed specification comes next.

When you select “Send RFQ”, the text fields are emailed to HACOLD and stored in the private inquiry dashboard for follow-up; short-lived pseudonymous request metadata is used for abuse control. Email and WhatsApp remain available as backup channels. Do not include confidential files until a separate handling method is agreed.
